Privacy Policy

This Policy explains how NeighbourTask collects, uses, discloses, retains, and protects personal information when you use our website, marketplace, communications, and support services.
1. Scope and accountability
This Policy applies to NeighbourTask’s Platform and related support and email services. It does not govern a poster’s or worker’s independent handling of information they receive while arranging or performing a task. Those users are responsible for their own privacy obligations.
NeighbourTask is responsible for personal information under its control. Our Privacy Officer can be reached at info@neighbourtask.com. We use administrative, technical, and contractual measures designed to support the privacy principles that apply to our commercial activities in Canada.
2. Personal information we collect
Depending on how you use the Platform, we may collect:
- Account and contact information: name, email address, phone number, city, partial postal code, account role, password hash, verification state, preferences, and account history.
- Profiles and marketplace activity: display name, biography, business details, skills, tools, availability, service area, rates, portfolio images, task descriptions, locations, budgets, quotes, hiring decisions, task status, saved items, reviews, and reports.
- Messages and support records: in-app messages, email replies routed into conversations, support requests, attachments and attachment metadata, delivery events, and records of our response.
- Qualification and trust information: insurance, WSIB, trade certification, identity or similar documents you choose or are asked to submit, review status, moderation decisions, and safety acknowledgements. These documents may contain sensitive information; submit only what is requested.
- Transaction and dispute information: agreed prices, invoice or payment references, payment evidence, dispute descriptions, and supporting material that users choose to provide. If you buy a direct Platform product, we also receive limited Stripe customer, checkout, subscription, invoice, refund, and webhook-status identifiers; Stripe handles payment-card details on its hosted pages. NeighbourTask does not collect payment-card numbers or online-banking login credentials and you must not upload them.
- Technical and security information: IP address, device and browser information, request and session identifiers, timestamps, login and security events, audit logs, cookies, error information, and records used to prevent abuse and maintain service reliability.
3. How we collect information
We collect information directly from you when you register, update a profile, post or respond to a task, upload a file, send a message, change a preference, submit a report, or contact support. We also receive information from other users when they interact with you, and collect limited technical information automatically when your browser or device uses the Platform.
If you provide personal information about another person, you must have authority to do so and share only what is reasonably necessary.
4. Why we use personal information
We use personal information to:
- create and secure accounts, authenticate users, and provide requested features;
- publish listings and profiles, match relevant marketplace activity, enable quotes and messages, and support agreements between users;
- send account, security, task, quote, message, support, and preference-based email notifications;
- review qualification documents, display limited verification statuses, moderate content, investigate reports, and reduce fraud, spam, abuse, and safety risks;
- provide customer support, maintain business and audit records, troubleshoot errors, and improve accessibility, performance, and user experience;
- establish, exercise, or defend legal claims and comply with lawful requests, court orders, tax, accounting, regulatory, and reporting obligations; and
- use de-identified or aggregated information for statistics, service planning, and improvement where the information can no longer reasonably identify an individual.
We will not use personal information for a new purpose that is materially inconsistent with the purpose identified at collection without giving notice and obtaining consent where required.
5. Consent and choices
We seek consent in a form appropriate to the sensitivity of the information and your reasonable expectations. Some collection and use is necessary to provide a feature you request, secure the Platform, keep required records, or meet legal obligations. You may decline optional fields or withdraw consent for optional uses, but doing so may limit a feature.
You can manage eligible marketplace email in Email preferences. Essential security, authentication, account-claim, and service messages are not optional while the related account or request remains active. If we introduce promotional electronic messages, we will follow applicable consent, sender-identification, and unsubscribe requirements.
6. What is public and when we disclose information
Public task listings may show details such as the task title, description, photos, category, city or neighbourhood, approximate budget, and timing. Public worker or poster profiles may show the display name, city, biography, business details, skills, rates, availability, portfolio, completion history, ratings, and limited verification status. Do not place contact details, exact addresses, identity documents, or other sensitive information in public fields.
Exact task addresses are intended to be visible only to the poster, the hired worker, and authorized administrators. Quotes and direct messages are limited to relevant participants and authorized administrators. Private qualification documents are limited to their owner and authorized reviewers or administrators, subject to legal and security needs.
We may disclose personal information:
- to another user as needed for a marketplace interaction you request;
- to service providers that help us host, store, secure, deliver email, process direct Platform purchases, support, or maintain the Platform, under obligations appropriate to their role;
- to professional advisers, insurers, auditors, or financial institutions where reasonably necessary for legitimate business or legal purposes;
- to law enforcement, regulators, courts, or other parties when required by law or reasonably necessary to protect rights, safety, users, or the Platform; or
- in connection with a proposed or completed financing, reorganization, sale, or transfer of all or part of the Platform, subject to confidentiality and applicable law.
We do not sell or rent personal information.
7. Email and support communications
NeighbourTask may send messages through its email provider and may use signed reply addresses to route your email response back into the correct in-app or support conversation. We may process sender and recipient addresses, message headers, message text, safe attachment metadata, provider identifiers, and delivery or bounce status. Do not email passwords, full payment-card details, banking credentials, or identity documents.
8. Cookies, local storage, and external resources
We use a secure session cookie to keep you signed in and a cross-site-request-forgery token to protect forms. These are necessary for account and security functions. Your browser may also store unfinished form drafts on your device and cache Platform resources through service-worker technology so the site can load and update reliably. You can clear cookies, site data, and saved drafts through your browser, although disabling necessary storage may prevent features from working.
The Platform loads certain fonts, icons, and software resources from third-party content-delivery services. When your browser requests those resources, the provider may receive technical information such as your IP address, browser details, and the requested URL under its own privacy practices.
9. Storage and processing locations
We and our service providers may store or process information in Canada or other countries. Information processed elsewhere may be subject to the laws of that jurisdiction and lawful access by its courts, governments, or authorities. We remain accountable for personal information under our control and use safeguards appropriate to the sensitivity of the information.
10. Retention
We keep personal information only as long as reasonably needed for the purposes described in this Policy, including operating your account, completing marketplace activity, resolving disputes, preventing repeat abuse, meeting legal and accounting obligations, and maintaining security and audit records. Retention depends on the type and sensitivity of the information and the reason it was collected.
When information is no longer required, we delete, anonymize, or securely dispose of it in accordance with our procedures. Copies may remain temporarily in protected backups or logs until they roll off. We may retain limited information after account closure where reasonably required for legal claims, fraud prevention, enforcement, or compliance.
11. Security and privacy incidents
We use safeguards designed for the sensitivity of the information, including password hashing, encrypted network transport where configured, access controls, private-file authorization, session and request protections, audit logging, input and upload restrictions, and controlled administrator access. No online service can guarantee absolute security. Use a unique password, protect your email account, and tell us promptly if you suspect unauthorized access.
We assess suspected privacy and security incidents and will notify affected individuals and regulators where required by applicable law.
12. Access, correction, deletion, and complaints
You can view and correct many account and profile fields through the Platform. You may also ask us to:
- confirm whether we hold personal information about you and provide access to it;
- correct inaccurate or incomplete information;
- explain how information has been used and, where required, disclosed;
- close your account or delete information that is no longer required, subject to lawful exceptions;
- withdraw consent for an optional use; or
- review a privacy decision or complaint.
Send a request to info@neighbourtask.com with “Privacy request” in the subject line. We may need to verify your identity before responding. We will respond within the period required by applicable law and will explain any lawful refusal or fee in advance.
Please contact us first so we can investigate. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada or another privacy regulator with jurisdiction.
13. Children
The Platform is for people who are at least 18 years old. We do not knowingly create accounts for children. If you believe a child has provided personal information, contact the Privacy Officer so we can investigate and take appropriate action.
14. Changes to this Policy
We may update this Policy when the Platform, our practices, or legal requirements change. We will post the revised Policy with a new effective date and provide reasonable notice of material changes through the Platform or by email. Where required, we will obtain consent before applying a materially new use to information already collected.
